Privacy Policy
How JournalCall collects, uses and protects your personal data.
Last updated: June 22, 2026
This Privacy Policy explains how JournalCall (“we”, “us”, “our”), the operator of JournalCall (journalcall.org), handles personal data. We are the data controller for the information described below. If you have any questions, contact us at privacy@journalcall.org or by post at the address at the end of this policy.
1. Information we collect
- Information you give us when you subscribe: your email address, and optionally your name, field of research and institution.
- Consent records: the date, time, IP address and browser user-agent at the moment you subscribe and when you confirm your subscription (double opt-in). We keep these to demonstrate that you asked to receive our emails.
- Email engagement: whether our emails are delivered, opened or clicked, and unsubscribe/complaint signals, so we can measure relevance and honor opt-outs.
- Basic technical data when you visit this website (e.g. pages requested), used only to operate and secure the site.
We do not buy, rent or scrape email lists, and we do not collect special-category (sensitive) data.
2. How we use your data
- To send you the calls for papers and submission invitations you subscribed to.
- To match content to the subject areas you selected.
- To verify your consent (double opt-in) and process unsubscribe requests.
- To maintain a suppression list so we do not email people who have opted out.
- To detect abuse, prevent fraud and keep the service secure.
3. Legal bases (GDPR/UK GDPR)
Where the GDPR or UK GDPR applies, we rely on your consent (Article 6(1)(a)) to send you marketing emails, which you may withdraw at any time, and on our legitimate interests (Article 6(1)(f)) to secure and improve the service. Withdrawing consent does not affect processing carried out before withdrawal.
4. Email sending & service providers
We use reputable third-party email delivery providers (such as Amazon SES, Mailgun and similar) to send our emails, and cloud hosting providers to run this website. These providers process data on our behalf as processors under appropriate agreements and only to provide their services to us. We do not sell or rent your personal data to anyone.
5. Cookies
We use only essential cookies needed to operate this website. See our Cookie Policy for details.
6. Data retention
We keep your subscription data while you remain subscribed and for a reasonable period afterwards to honor your opt-out and meet legal obligations. If you unsubscribe, we retain a minimal record (your email on a suppression list) specifically so we do not contact you again.
7. Your rights
Depending on your location, you may have the right to access, correct, delete, restrict or object to the processing of your data, to data portability, and to withdraw consent. You can exercise these rights at any time by emailing privacy@journalcall.org or using the unsubscribe link in any email. You also have the right to lodge a complaint with your local data protection authority.
8. International transfers
Your data may be processed in countries other than your own. Where it is, we rely on appropriate safeguards (such as Standard Contractual Clauses) to protect it.
9. Children
This service is intended for researchers and professionals and is not directed at children under 16.
10. Changes
We may update this policy from time to time. We will post the new version here with a revised “last updated” date.
